Greenhouse
Guests are welcome to harvest produce from the greenhouse if they are accompanied by a community member or have completed an orientation with one of the Greenhouse Team members. Children should always be accompanied by an adult.
Trails
You’re invited to walk or bicycle around Heartwood’s 360 acres on our 7 miles of roads and trails. Please avoid using the trails if they are muddy. A map of trails is available online, at almost all trail junctions, below the mailroom bulletin board in the common house entry, and also in both common house guest rooms.
Hot Tub
To find the community hot tub, follow the flagstone walkway through the Village Green (across from the common house) until it becomes a gravel pathway and then follow that into the woods. Clothing is optional. Quiet hours start at 10pm, so please talk softly as voices travel into the adjacent homes. Please shower prior to using the hot tub. If you choose to wear a swimsuit, please rinse it thoroughly before entering the tub to remove residual laundry detergent. Children under 16 must be accompanied by an adult.
Making a Payment
Please pay with Venmo, cash, or check (made out to “Heartwood HOA”). Our Venmo name is: “@heartwoodHOA”. Please put cash or check in an envelope and indicate on the envelope (or under “What’s this for?” in Venmo) your name, dates of your stay, and whether your payment is for meals, guest room, and/or laundry. You can put your cash or check payment envelope in the “Visitors/ Common Meals/Donations” mailbox in the mailroom by the common house entry or in the basket of the guest room you’re staying in.
Wednesday Common Meals and Sunday Brunches
Plan to join us! common meals are held every Wednesday at 6:30pm in the common house. Sunday brunches are scheduled sporadically. When they happen, they start at 11am. Check the Online Activities Calendar (https://bit.ly/3bjIHIM) to see if one is scheduled during your visit. Menus and cooks are posted on the Online Activities Calendar at least two days prior to the common meal or brunch.
Please have your host or buddy sign you up at least two days prior to the meal so the cooks can shop accordingly. Be sure to have your host indicate your dietary preferences. If you wish to attend a meal, but haven’t signed up within two days prior, check with your host or the cooks to see if they are able to accommodate you.
Common meal and brunch costs are $7.00 for adults and $4.00 per child. Please see the Making a Payment section near the top of this guide on how to make your payment.
Taco Tuesdays
A Mexican themed potluck is held every Tuesday at the common house starting at 5:30pm. Please bring a dish and/or beverage to share. No RSVP is needed.
Friday Potlucks
A potluck is held every Friday at the common house starting at 6:30pm. Please bring a dish and/or beverage to share. No RSVP is needed.
All of our community meals are a great way to meet our members and get to know the community, so please come if you can.
Additional Community Activities
Guests are welcome to participate in additional Heartwood activities during their stay. Ask your host about upcoming activities and/or check the Online Activities Calendar. To make the most of your stay, check out our Plan A Visit webpage.
Community Meetings are for conducting community business. They are held as needed on the first and third Mondays of the month at 6:30pm in the common house. You are welcome to attend and observe.
Meetings of the Hearts are for deepening our connections. They are held on the second Monday of the month at 6:30pm in the common house. You are welcome to attend and participate.
Work Parties are for having fun together, getting community work done. They are held on the third Saturday of the month at 9:00am in front of the common house. You are welcome to attend and participate. The Work Party is generally followed by a Work Party lunch for all the workers.
Wisdom Circles are for exploring topics of interest. They are generally held every Saturday at 7:30am in the common house or the yurt. You are welcome to attend and participate.
Common House Guest Rooms
Should the bed not be made, sheets and towels are in the guest room closet. After your stay, please remove the dirty sheets and towels and place them in the laundry hamper in your room. Please remake the bed with clean sheets and hang clean towels on the bars in your room. You don’t have to wash your used linens, but if you do, you can find laundry detergent labeled “Common House” in the laundry room on the detergent shelving, bottom left. Please don’t use any bleach.
Community quiet hours are from 10pm to 8am, but guests may ask children and adults in the rec room to be quiet earlier if needed.
We ask for a donation of $50 per room per night. Please see the Making a Payment section near the top of this guide on how to make your payment.
Smoking, pets, and dirty street shoes are not allowed in the common house. Please check out by 11am.
Common House Kitchen
You may use the refrigerator in the kitchen to store your personal items (use the lower two shelves), but please remove them prior to your departure. Always mark your items with your name. Be sure to clean up after yourselves. Washing, drying, and putting away dishes will create a nice space for incoming cooks or other guests.
Common House Coffee and Tea
You’re welcome to use the small white coffee pot and filters located on a lower corner shelf in the kitchen. Coffee is found in the pantry, top left. Tea is in one of the drawers in the dining area just on the other side of the kitchen. Please help yourself.
Common House Bathrooms
There is only one downstairs common house bathroom so you may be sharing it with other guests. Please only flush toilet paper down the toilet. Our septic system cannot accommodate “flushable” wipes, tampons, paper towels, etc.
Common House Laundry
You are welcome to use the common house laundry facilities. If there is a guest in Guest Room #2, please refrain from doing laundry after 9pm or before 9am. Fees are $0.50 per washer load and $1.00 per dryer load. Please see the Making a Payment section near the top of this guide on how to make your payment.
Common House Exercise Room
Guests may use the common house exercise room, assuming you are aware of how to use the equipment safely and with care. Ask your host for info on how to use the equipment, if needed. Children 12 years or younger must have adult supervision.
Common House Hearth Room
You are welcome to use our common house hearth room as long as it is not needed for a community activity. It is for quiet and mellow activities.
Dogs
We ask that all guests with dogs read the Heartwood Pet Expectation Guidelines prior to their arrival. Heartwood has a “free roaming” policy for its members’ dogs that have passed certain behavioral requirements. As pack animals, free-roaming member dogs have staked out their territories and can become protective. Dogs are not allowed in the common house nor are they allowed on the common house terrace when we’re having meals there.
All visiting dogs must be on a leash at all times within the vicinity of the cluster of homes, including adjacent roads and parking lots, and under strict voice and sight command when elsewhere on the property. Please have a leash with you at all times. Dog owners must minimize the impact of domestic dogs on wildlife and livestock.
Failure of any dog to come when called by its owners or to back away from people or other dogs (leashed or free roaming) when asked will result in a loss of off-leash privileges during the visitor’s stay. Guest dog owners take responsibility for injuries sustained related to a dog fight if the conditions outlined in the Pet Expectation Guidelines for guest dogs are not met and it is determined that their dog created the situation through aggressive behavior.
We also ask that you clean up after your dog. If your dog poops near the cluster, please pick in up in a plastic bag and dispose of it in the dumpster (in the parking lot northeast of the common house). If your dog poops out in the woods near a trail, please flick it away from the trail into the bushes with your foot or a stick.
Garbage, Recycling & Compost
Garbage and recycling can be brought to the east parking lot where you’ll find a dumpster area and a large round black recycling bin. Glass is recycled separately. Compost can be deposited in the bins to the left of the greenhouse. Use bin #1 only. Please refer to the Compost Guidelines sheet posted there for what can be composted.
If you’re staying in the common house, you’ll find recycling bins in the drawers to the left of the hearth room entrance. Compost pails are generally available near the trash can in the kitchen.
Cart Usage
You are welcome to use the carts you’ll find along the pathways and in the parking lots. We encourage everyone here to use carts to reduce car traffic on the pathways. Please return any cart to a pathway or parking lot when finished.
